8:30 am - 10:15 am WORKSHOP A: HOW TO STRUCTURE & SUCCESSFULLY EXECUTE A WINNING ORGANIZATIONAL CHANGE MANAGEMENT PROGRAM

Shared Services organizations today are in a constant state of flux as they respond to the fast-moving external business environment, and technological advancement. This means that workplace processes, systems, and strategies must continuously change and evolve for a SSO to remain competitive. With change affecting your most important assets—your people, a well-designed change management plan is essential to support a smooth transition and ensure your employees and stakeholders are guided through the change journey. However, approximately 70 percent of change initiatives fail due to negative employee attitudes, a lack of support from C-Suite and poorly articulated plan.  So how can you increase the odds of your project success? During this interactive workshop you will learn key components of a well-crafted change management plan including the lasting benefits of a successful plan; strategies to assist resisting employees. 

Theory (35 Minutes)
Here, we will share approaches to building a change management plan by focusing on:
  •  Effective communication and stakeholders education to counter change resistance and align stakeholders to a common vision
  •  Discuss the change equation and ROI
  •  Monitoring your strategy through early stages of development
  •  Managing cultural changes while keeping employees happy, engaged and motivated
  • Determining the goals and objectives whether your transformation is ensconced into company culture or the initiative is new
  • How to better manage resisting employees so they do not become powerful detractors

Practical (45 MINUTES)
Working in small groups, the session leader will task attendees with developing a change management plan to meet the changing needs of their organization. Upon completion of the project, the groups will come back together and present to the room, highlighting the biggest challenges they encountered in developing the project and what strategies they implemented to overcome them.

Feedback, Review and Wrap Up (25 Minutes)
Gain practical short and long-term tools and communication strategies to take back to your FSSO that will enable you to develop and implement a successful change management plan.

11:15 am - 1:00 pm WORKSHOP B: TAKING YOUR SSO TO THE NEXT LEVEL—A FRAMEWORK FOR DESIGNING, PLANNING AND IMPLEMENTING GLOBAL BUSINESS SERVICES

A GBS enable shared services organizations to benefit from improved agility and scalability, meet the needs of the business, reduce costs, provides better analysis of existing data, and impact top and bottom line. Regardless of where you are in your shared services, join us in this workshop to understand the benefits a GBS,  learn more about getting the concept right, and building the business case.

FOCUS (35 MINUTES)
Here, the workshop leader will cover a framework from A-Z that will help you design, build and implement a GBS. Discussion will include how to:
§  Discover the “need to know” for location strategy
§  Establish a clear roadmap for change, and clarity and vision for your transformation
§  Understand your new market, the talent capabilities and the opportunities for future growth
§  Develop a blueprint for your organizational model
§  Build effective governance models

PRACTICAL (45 MINUTES)
Based upon what was learned in the focus discussion, you will be tasked with developing a business plan that includes getting stakeholders buy-in

TAKEAWAYS (25 MINUTES)
You’ll leave the workshop with a blueprint to take back to your organization that will enable you to successfully develop a framework to developing and implementing a GBS.

1:30 pm - 3:15 pm WORKSHOP C: IDENTIFY, PRIORITIZE & IMPLEMENT A SUCCESSFUL INTELLIGENT AUTOMATION PROGRAM

Disruptive IA technologies (RPA, AI, ML) have the potential to revolutionize service delivery in Shared Services and Global Business Services organizations. With FSSOs on the journey to becoming automated, many have already adopted and implemented RPA to optimize their service delivery. However, the question still abounds about the reality of what these technologies can deliver and if an organization is ripe for the change. Join this workshop to understand the definitions, context and evolution of RPA and IA that leaders need to understand before embarking on an IA initiative. You will leave this workshop with practical business examples, tools and strategies that will help you gain the support of management and move your project from ideation to implementation.

Practical (40 Minutes)
Speaker will kick off the workshop with an overview of the different technologies and explain the difference between RPA and other existing forms of automation; key areas that need to be considered before, during and after an implementation; and why there is no “one size fit all” strategy.  

Focused Discussion: 
·         Developing the IA road map with a supporting business case
·         The do’s and don’ts of technology adoption
·         The first step you should take when considering implementation
·         Navigating the challenges with legacy data, systems and infrastructure
·         How IA pilot programs can be standalone initiatives or incorporated within a larger transformation program
·         Implementing effective governance and compliance strategies

Practical (40 minutes)
Based on what you learned during the speaker’s presentation, it is now time to break out in small groups based on your process function (AR, AP, P2P) and develop a plan to chart your way to technology implementation. 
 
Takeaways (25 minutes)
Following the collaborative exercise, you’ll come together as a group and share your group projects. You will leave with practical and actionable strategies that will chart your course to a successful IA project.

3:30 pm - 5:15 pm WORKSHOP D: TRANSFORMING YOUR SHARED SERVICES ORGANIZATION TO ACHIEVE OPERATIONAL EXCELLENCE FOR FUTURE EXPANSION

The session leader will start the workshop with a discussion on how agile and digital transformation play an important role in your operational excellence strategy and share case studies on how organizations have successfully developed a winning strategy to achieve operational excellence. Discussion focus includes:
§  How to sell your vision and get stakeholder buy-in
§  Using operational excellence tools to create a positive culture of continuous improvement
§Operational Excellence and Agile: Differences and similarities when it comes to lean thinking and culture

PRACTICAL (40 MINS)
Based upon what was learned in the focus discussion, you will be tasked with developing a short term and long-term operational excellence plan that includes: getting stakeholders buy-in and keeping the different business units aligned during the journey, and creating a positive culture of continuous improvement.

Takeaway (25 minutes)
You’ll leave the workshop with a blueprint to take back to your organization that will enable you to successfully develop a strategy to take your FSSO to new heights of operational excellence.
